Privacy notice

This notice explains what personal data and documents TendHunt Bidder collects, how we use them, and your rights under UK GDPR. We collect as little as we can, and we treat your bid documents as confidential.

Who we are

TendHunt Bidder is a trading name of TendHunt Ltd, an English company registered at Companies House. TendHunt Ltd (“we”, “us”) is the data controller. You can contact us at hello@tendhunt.com.

What data we collect

  • Anonymous analytics — pages viewed, referring domain, country, broad device type. We do not use third-party tracking cookies.
  • Enquiry details — what you enter on the get-started form (email, company, what you sell, sectors, regions, portals, bid volume, contract value, chosen plan) and any email conversation with us.
  • Bid documents — if you become a customer, the documents you upload for your vault: insurance certificates, accreditations, policies, financial records, case studies, past answers, and the tender responses we produce for you. These may contain personal data about your staff (for example named contacts or CVs).
  • Portal credentials — where you ask us to register or submit on a procurement portal on your behalf, we hold the credentials needed to do so, encrypted at rest.
  • Order details — billing details for invoices or payment links, the plan, and the bids produced.

Your bid documents

  • They are stored on servers in the United Kingdom.
  • They are not used to train any AI model, ours or a third party’s. Model providers we use are contractually barred from retaining or training on your content.
  • They are used only to produce bids for you.
  • They are deleted on request, and in any case within 30 days of your account closing, except where a legal retention duty applies.

What we don’t collect

  • We do not show advertising or run ad-tech tracking pixels.
  • We do not sell, rent or share your personal data or documents with marketing partners.
  • We do not share your bid content with other customers, including competitors bidding on the same tender.

How we use the data

  • To qualify tenders and produce bids you have asked for.
  • To register and submit on portals where you have authorised it.
  • To respond to your enquiries.
  • To improve the website (anonymous, aggregated traffic patterns).
  • To meet our legal and accounting obligations.

How long we keep it

Order records and conversation history: 6 years (HMRC requirement). Bid documents and portal credentials: for the life of your account, then deleted within 30 days or sooner on request. Anonymous analytics: 26 months. Enquiries with no order attached: deleted after 12 months.

Where it’s stored

Bid documents and credentials: United Kingdom. Website and enquiry data: United Kingdom and the European Economic Area. Where a sub-processor (for example an AI model provider) is outside the UK, transfers are covered by the UK International Data Transfer Agreement or an adequacy decision.

Your rights

You have the right to:

  • Ask us what data we hold about you.
  • Ask us to correct inaccurate data.
  • Ask us to delete your data (subject to legal retention).
  • Object to our processing or restrict it.
  • Receive your data in a portable format.
  • Complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.

Changes to this notice

If we change this notice we’ll update the “Last updated” date at the top. Material changes will be notified by email if you have an active plan.
